Terms of use and content policy

These rules protect residents, guards and authorised tenant teams when safety information is submitted and reviewed through Pin My Guard - Resident.

Version: resident-community-terms-v1 · Effective date: 9 September 2026

Purpose and acceptance

Pin My Guard - Resident is a private, tenant-managed safety service for authorised residents. By selecting “I accept the Resident Community Terms and Content Policy” before submitting a report, you agree to these terms for that submission. If you do not agree, do not submit the report. The Privacy and POPIA Notice is separate and explains how personal information is processed.

Permitted use

Submit only factual, necessary, good-faith information about non-emergency safety, access, maintenance, fire, medical or suspicious-activity concerns relevant to your assigned estate or site. Use Panic/SOS and the appropriate public emergency service for immediate danger. Do not use a normal report as an emergency dispatch request.

Prohibited content and conduct

Do not submit child sexual abuse or exploitation material; sexual or pornographic content; hate speech or discrimination; threats, harassment, bullying or targeted abuse; graphic or gratuitous violence except the minimum factual detail needed for a genuine safety report; knowingly false, deceptive, impersonating or defamatory content; personal, confidential or sensitive information that is not necessary for the safety purpose; content that infringes another person’s rights; instructions or promotion for crime, dangerous conduct, controlled substances or weapons; spam, advertising or repeated misuse.

Human review

Resident reports are not published directly. They enter a private tenant queue with human review required. Authorised tenant personnel may classify, redact, restrict, retain as private evidence, decline, withdraw or escalate content where appropriate. Pin My Guard does not make an automated final moderation, disciplinary or emergency decision.

Reporting objectionable content

Every tenant-published incident in the Resident app includes separate “Report this content” and “Report sender” actions. Choose the closest fixed reason and submit it in the app. The report is sent privately for authorised human review. Content can be withdrawn and an exact, verified publisher identity can be escalated into a visible account-review queue. Repeated taps or restarts reconcile to the same review for the exact publication instead of creating hidden duplicates. Do not include emergencies in a content report. For immediate danger use Panic/SOS or the appropriate public emergency service.

Closed-community interaction and blocking

The Resident app has no public posts, follower graph, discoverable user profiles or one-to-one user messaging. Estate incident notices are tenant-published, and visitor decisions are structured private workflows rather than social messaging. A user-block control is therefore not applicable to this closed-community release. Use “Report sender” on any displayed publication to request exact-publisher review; authorised administrators can restrict account access through the audited tenant offboarding workflow when human review justifies it.

Enforcement and appeals

Content or account access may be restricted, removed, suspended or referred to the relevant tenant, platform administrator or lawful authority where reasonably necessary. Repeated or serious misuse may result in loss of access. Moderation decisions are made by authorised people. Questions or appeals may be sent to support@pinmyguard.com.

Rights to submitted content

You confirm that you have the right to submit the content. You grant the relevant tenant and Pin My Guard a limited right to receive, store, review, redact, reproduce and disclose it only as reasonably needed for safety operations, moderation, support, legal compliance and protection of rights.

Privacy and retention

Do not include unnecessary personal information. Reports, content reports, moderation decisions and audit evidence are tenant-scoped and access-controlled. Retention and lawful disclosure are governed by the Privacy and POPIA Notice and the relevant tenant’s policies.

Changes and contact

We may update these terms. The app will require acceptance of the current version before a new free-text report can be submitted. For questions, appeals or non-emergency concerns, visit Support or contact support@pinmyguard.com.

Emergency services

Pin My Guard supports a tenant control room and does not replace SAPS, fire, ambulance or other public emergency services.
