Terms of use and content policy

These rules protect guards, residents, clients and authorised operations teams when workforce content is created or reviewed in Pin My Guard - Guard.

Purpose and acceptance

Pin My Guard - Guard is a private, tenant-managed workforce and safety service for authorised guards. Before creating an incident description, incident-photo evidence, task evidence note, daily activity summary or handover note, you must read and accept the current version of these terms in the app. The Privacy and POPIA Notice is separate and explains how personal information is processed.

Permitted use

Submit only factual, necessary and good-faith information relevant to your assigned work, site safety, incident review, task proof or shift handover. Use Panic/SOS and the appropriate public emergency service for immediate danger. Normal content and content-reporting tools are not emergency dispatch channels.

Prohibited content and conduct

Do not submit child sexual abuse or exploitation material; sexual or pornographic content; hate speech or discrimination; threats, harassment, bullying or targeted abuse; gratuitous violence; knowingly false, deceptive, impersonating or defamatory content; unnecessary personal, confidential or sensitive information; content that infringes another person’s rights; instructions or promotion for crime, dangerous conduct, controlled substances or weapons; spam, advertising or repeated misuse. Genuine safety evidence may contain difficult facts, but include only what is necessary for authorised review.

Human review and operational records

Guard-authored content is tenant-scoped and auditable. Authorised personnel may classify, redact, restrict, retain as evidence, decline, withdraw or escalate it where appropriate. Pin My Guard does not make an automated final moderation, employment, disciplinary or emergency decision.

Reporting content or a sender

Post orders and assigned tasks shown in the Guard app provide “Report content” and “Report sender” controls. Choose the closest reason. A report is confirmed only after the app receives an exact moderation receipt; if it cannot be confirmed, contact support@pinmyguard.com. Reporting never mutes Panic/SOS or life-safety alerts.

Control-room dispatch

General Control-to-Guard prompts displayed in the Guard workspace are limited to reviewed operational templates. Panic/SOS and life-safety alerts use a separate dedicated delivery path and are not blocked by a content or sender report. Contact your verified control-room channel if a prompt is unclear or unsafe.

Enforcement, rights and appeals

Content or account access may be restricted, removed, suspended or referred to the relevant tenant, platform administrator or lawful authority where reasonably necessary. You confirm that you have the right to submit content and grant the relevant tenant and Pin My Guard a limited right to receive, store, review, redact, reproduce and disclose it only as reasonably needed for operations, moderation, support, legal compliance and protection of rights. Changes, privacy and retention

We may update these terms. The app will require acceptance of the current version before new Guard-authored content can be created. Do not include unnecessary personal information. Retention and lawful disclosure are governed by the Privacy and POPIA Notice and applicable tenant policies.

Emergency services

Pin My Guard supports a tenant control room and does not replace SAPS, fire, ambulance or other public emergency services.
